Let’s be real: most of us are drowning in daily tasks. Our digital lives have turned into a constant juggling act of notifications, emails, and endless to-do lists. I was there too—until I stumbled on something that quietly transformed my daily grind: agentic workflows.

What the heck are “agentic workflows” anyway?

Before your eyes glaze over at yet another tech buzzword, let me explain this concept in plain English:

Agentic workflows are like digital assistants you program to handle the boring, repetitive stuff. Think of them as little robots that live behind the scenes, connecting your apps and services, and taking action based on rules/criteria you have set.

Here’s the key difference from using ChatGPT or Claude directly: instead of you manually copying and pasting between apps, these workflows automatically connect the tools you already use—Gmail, Slack, Google Sheets, your CRM, calendar, you name it.

For example, while you might chat with an AI to help write an email, an agentic workflow can automatically monitor your Gmail, extract key information from client emails, update your project tracker in real-time, send a Slack notification to your team, AND schedule a follow-up reminder; all without you lifting a finger. It’s the difference between having a conversation with an assistant versus having that assistant actually do the work across all your systems.

For me, this meant no longer drowning in unread emails or waking up at 3 a.m. wondering if I updated that spreadsheet or sent that follow-up. My agentic workflow now dynamically performs the tedious applications of my day-to-day workstreams while I keep my mind focused and critically thinking.

Tools like n8n (my personal favorite) & Huginn make this accessible, even if you’re not a developer. They’re open-source, easy to use, and budget-friendly.

Getting started (without the headaches)

The trick? Start small. 

Pick one frustrating task and automate it. For me, it was transforming interview transcripts from client discovery sessions into simple, shareable summaries. As a consultant, I was spending hours each week manually reading through lengthy transcripts, pulling out key insights, formatting them into digestible reports, and organizing them for stakeholder presentations — a small automation win that saved countless hours of tedious work.

Most platforms come with ready-made templates you can tweak, so no need to reinvent the wheel. But fair warning: things get tricky fast. My simple ‘upload transcript, get summary’ template broke when the AI started hallucinating. As Google Cloud explains, “AI hallucinations are incorrect or misleading results that AI models generate. These errors can be caused by a variety of factors, including insufficient training data, incorrect assumptions made by the model, or biases in the data used to train the model.” What seemed like a 15-minute setup became a weekend of restructuring data formats and fine-tuning prompts to actually capture the desired output.

Agentic workflows are deceptively simple at first glance, but the magic (and challenge) comes as you scale. Things get trickier: structuring your data properly, setting clear triggers, and fine-tuning your AI agents for specific outputs. My advice? Build incrementally. Get the basics running smoothly before layering on complexity.

Why It’s Worth It

Once you get them working, agentic workflows enable me to actually focus on the work that matters instead of constantly switching between apps and wondering what I forgot to update. My brain isn’t constantly running background processes anymore, but rather focusing on critical thinking that helps me with real problems.

But here’s where things get really exciting: what starts as simple personal automation can scale into something much bigger.

Platforms like n8n are powerful enough to transform entire business operations. The same logic I use to automatically process my interview transcripts can be applied to how customer data moves between departments, how support requests get handled, or how teams stay in sync without constant check-in meetings. When you take those individual time savings and multiply them across an entire organization, you’re not just making people more productive, you’re changing how the business actually runs.
